Booking & Payment

Booking Process:

  • Guests can make bookings over the phone or via email.

Deposit and Full Payment:

  • A 30% deposit is required at the time of booking to secure the reservation.
  • Full payment is due 8 weeks before the check-in date.

Payment Methods:

  • Payments can be made through PayPal or bank transfer.

Security Deposit

Deposit Amount and Refund:

A security deposit of £125 is required to be paid at the same time as the full payment is made for your booking. This deposit serves as a safeguard against any potential damages or violations of our terms and conditions.

The security deposit will be fully refunded within 7 days of the completion of your stay, provided that the terms and conditions outlined below have been adhered to.

Adherence to Terms and Conditions:

  • The security deposit will be refunded in full if guests have adhered to all terms and conditions during their stay. These terms include, but are not limited to:
    • Strict adherence to our no smoking policy.
    • Compliance with our pet policy and responsible pet ownership.
    • Prevention of breakages or damages to the property and its contents.
    • Reasonable use of gas and electric utilities.
    • Ensuring all items provided in the property are accounted for and undamaged upon departure.

Deductions from the Deposit:

  • In the event of any breach of terms and conditions resulting in damages, breakages, excessive utility consumption, or loss of items, appropriate deductions will be made from the security deposit to cover necessary costs.

Arrival & Departure

Check-In Time:

  • Guests are welcome to check in from 4:00 PM on their arrival date. We understand the excitement of getting settled and starting your Northumberland adventure.

Check-Out Time:

  • On the day of departure, we kindly request that guests check out by 10:00 AM. This allows us to prepare the cottage for the next guests.

Key Arrangement:

  • For your convenience and security, we've provided a secure key safe on the property. Keys should be left in the key safe at check-out to ensure their safety and easy access for the next guests.

Flexibility for Early Check-In and Late Departure:

  • We understand that travel plans can sometimes require adjustments. If you require an early check-in or a late departure, please feel free to contact us in advance. While we can't guarantee availability, we will do our best to accommodate your needs.
  • We kindly request that guests do not arrive at the property before the designated check-in time unless prior arrangements have been made and confirmed with us. Similarly, we ask that guests do not extend their departure beyond 10:00 AM without prior agreement.

Occupancy & Guests

Maximum Occupancy:

  • The maximum occupancy of Pinnipeds is normally up to 4 guests. This ensures a comfortable and enjoyable stay for all occupants.  We do have options to allow up to 2 more guests on request.  Please contact us at Jennifer@Pinnipeds.co.uk if you would like more than 4 guests to visit during your stay.

Pet-Friendly Policy:

  • We warmly welcome well-behaved dogs to Pinnipeds. There is no specific limit on the number of dogs you can bring, but please ensure they are well-mannered and considerate of other guests.

Limit on Guests and Dogs:

  • Only the guests and dogs specified in the booking are allowed to occupy the property during the stay.
  • We kindly ask that you do not invite additional guests or dogs beyond those listed on the booking.

Changes & Amendments

We understand that plans can evolve, and we strive to accommodate your needs to the best of our ability. If you find it necessary to make changes or amendments to your reservation, please consider the following:

Booking Modifications:

  • If you need to adjust your booking details, such as the dates of your stay or the number of guests, we will make every effort to assist you. Please get in touch with us at the earliest convenience to discuss the changes you'd like to make.

Subject to Availability:

  • Changes to your reservation are subject to availability and may be subject to different rates or terms. We recommend contacting us as soon as possible to ensure we can accommodate your desired changes.

Amendment Requests:

  • Any requested amendments to your booking should be communicated to us in writing. We will review your requests and respond with the available options and any associated costs, if applicable.

Prior Agreement:

  • Any changes or amendments to your booking are subject to mutual agreement between both parties. We will work together to find a solution that suits your needs and aligns with the availability of the cottage.

We aim to be as flexible as possible in assisting you with changes or amendments to your booking. However, please understand that changes might be subject to limitations due to availability and the terms of your original booking.

Cancellation Policy

Cancellations by the Property Owner:

  • In the rare event of circumstances beyond our control that necessitate cancellation, a full refund will be promptly issued.

Guest Cancellations:

  • If a guest cancels their booking:
    • Up to the full payment due date: The full deposit will be forfeited.
    • Between the deposit date and full payment due date: Any monies sent beyond the deposit amount will be refunded.
    • After the full payment due date: No refund will be provided.
  • For any cancellations, please notify us promptly.

Additional Note:

  • In case of cancellations after the full payment due date, we understand unexpected situations can arise. Feel free to contact us to discuss potential discounts for a future booking.

Travel Insurance

Consideration for Your Peace of Mind:

  • We highly recommend that all guests consider obtaining comprehensive travel insurance to safeguard against unexpected circumstances. While we strive to provide a comfortable and enjoyable stay, unforeseen events can occur that might disrupt your travel plans.

Coverage for Peaceful Getaways:

  • Travel insurance can offer coverage for a range of situations, including trip cancellations, delays, medical emergencies, and unforeseen travel disruptions. Having insurance can provide you with peace of mind, knowing that your investment in your holiday is protected..

Pet Policy

At Pinnipeds, we are delighted to welcome both our human and canine guests to enjoy a memorable stay. Our pet policy is designed to ensure the comfort, safety, and well-being of all occupants. Please carefully review the following guidelines:

Respectful of Neighbours:

  • Please be mindful of our neighbours throughout your stay, ensuring that your dogs' activities do not cause any inconvenience.

Pet Inclusion in Booking:

  • We warmly welcome dogs of all breeds unless they are part of the restrictions outlined by the Dangerous Dogs Act 1991. There is no limit on the number of dogs that can accompany you on your holiday. However, we kindly request that you provide us with the number and breeds of dogs that will be joining you when making your booking.

Well-Behaved Canine Companions:

  • Dogs are allowed full access to the house. We trust that your furry friends will be well-behaved during their stay.

Furniture Courtesy:

  • If your dogs are accustomed to hopping onto furniture, we ask that you use the provided throws to cover sofas and chairs, ensuring both their comfort and the preservation of our furnishings.

Cleanliness Consideration:

  • Before departure, we kindly request that you leave the property in a clean and tidy condition both inside and outside. This includes ensuring that no traces of your dogs' presence are visible.

Canine Etiquette:

  • We ask that you have control over your dogs at all times and refrain from leaving them alone within the cottage or garden.

Bringing Other Pets:

  • If you wish to bring a pet other than a dog, such as a cat or another type of animal, we kindly request that you contact us in advance to discuss the possibility. This allows us to ensure that your pet's needs align with our property and policies.
  • By getting in touch with us beforehand, we can assess whether your non-canine pet can be accommodated comfortably and safely at Pinnipeds.

No Smoking or Vaping Policy

No Smoking or Vaping:

  • For the comfort and well-being of all our guests, we have a strict no smoking and no vaping policy within Pinnipeds. This policy applies to both the interior of the cottage and all enclosed areas.
  • If guests choose to smoke in the garden, we kindly ask that they be mindful of our neighbours and ensure that smoke does not disturb or inconvenience anyone residing nearby.
  • To maintain a smoke-free environment within the cottage, we request that guests refrain from leaving windows open while smoking outside. This will prevent any smoke from entering the property.

Enforcement and Charges:

  • Guests who do not adhere to our no smoking policy may be subject to charges from the security deposit to cover additional cleaning costs and any necessary remediation. This includes any damage caused by smoke or violations of our smoking policy.

Property Care & Rules

Respectful Care - Your Coastal Home:

  • We invite you to treat Pinnipeds with the same care and respect that you would your own home. Pinnipeds is not just a holiday rental; it's our own coastal home, and your consideration contributes to a comfortable and enjoyable experience for all our guests.

Bin Disposal:

  • As you prepare to depart, kindly ensure that all bins within the cottage are emptied and the waste is placed in the appropriate wheelie bins located outside. This small step ensures the cleanliness and upkeep of the property.

Thoughtful Use of Utilities:

  • We encourage the responsible use of gas, electricity, and water during your stay. Please turn off lights, heating, and appliances when not in use to help conserve resources.

Furniture and Furnishings:

  • The furnishings in Pinnipeds are designed for your comfort. To maintain the quality of our interiors, we kindly ask that you refrain from rearranging furniture and ensure that any provided throws are used to protect sofas and chairs if needed.

Secure Locking:

  • Please remember to securely lock all doors and windows when leaving the property to ensure the safety of your belongings and maintain the security of the cottage.

Neighbouring Courtesy:

  • We value our neighbours' peace and quiet. During your stay, we kindly ask that noise levels be kept reasonable, especially during the evening hours.

Damage Reporting

At Pinnipeds, we want every guest to enjoy their stay to the fullest extent. If you happen to notice any damages or breakages during your time at the cottage, we kindly ask that you report them to us promptly. Your cooperation in reporting damages helps us maintain the high standard of our property and ensures that future guests have an equally pleasant experience.

Why Report Damages:

  • By informing us about damages or breakages, you contribute to the overall upkeep of the cottage. This allows us to address any issues promptly, repair or replace items as needed, and ensure that the property remains in excellent condition for all our guests.

Open Communication:

  • We value open communication and understand that accidents can happen. Reporting damages allows us to assess the situation, take necessary action, and make improvements that benefit everyone who stays at Pinnipeds.

We proudly advocate for the "Leave No Trace" countryside code, which encourages responsible behaviour in natural areas. Here's how you can help:

Resource Conservation:

  • Please help us conserve valuable resources such as water and electricity. Turn off lights, appliances, and heating when not in use, and use water responsibly during your stay.

Waste Management:

  • Dispose of waste and recyclables in the designated bins provided. We kindly ask that you separate recyclables from general waste to support recycling efforts.  Details of how to recycle are included in the Welcome Pack.

Local Ecosystem:

  • Pinnipeds is nestled within a stunning natural environment. Please be mindful of local flora and fauna, avoiding any disturbances to wildlife and plant life during your explorations.

Reduce, Reuse, Recycle:

  • We encourage the use of reusable bags and containers during your outings to minimize single-use plastics. Feel free to make use of the recycling facilities provided.

Energy Efficiency:

  • Utilize the heating and cooling systems responsibly, keeping windows and doors closed when they are in use to conserve energy.

Nature Conservation:

  • We value the natural beauty of our surroundings. Please refrain from littering or damaging the environment, upholding the "Leave No Trace" ethos to leave the landscape as you found it.

Anti Social Behaviour

At Pinnipeds, we are dedicated to providing a peaceful and enjoyable environment for all our guests. We expect all occupants to conduct themselves in a respectful and considerate manner. Please be aware of the following:

Respectful Conduct:

  • We kindly request that all guests adhere to a code of conduct that respects the comfort and well-being of fellow occupants and neighbours.

Anti-Social Behaviour Defined:

  • Anti-social behaviour includes actions that disrupt the tranquility of the property, cause disturbance to others, or breach the peaceful enjoyment of surrounding areas.

Our Right to Take Action:

  • In cases of severe anti-social behaviour, we reserve the right to take appropriate action to safeguard the experience of other guests and the integrity of our property. This may include ending your holiday prematurely and requiring you to vacate the cottage.

Prior Notice:

  • We value open communication and will endeavor to address any concerns before taking such action. However, severe and persistent anti-social behaviour may necessitate immediate intervention.

Guest Responsibility:

  • Your cooperation in maintaining a harmonious atmosphere is greatly appreciated. By respecting the comfort and enjoyment of others, you contribute to a positive environment for everyone.

Liability & Insurance

Personal Belongings:

  • We kindly ask that guests take responsibility for their personal belongings during their stay at Pinnipeds. While we strive to provide a secure environment, we cannot be held liable for any loss, damage, or theft of guests' possessions.

Parking at Your Own Risk:

  • Guests are welcome to park their vehicles on the property premises. However, it's important to note that parking is at your own risk. We cannot be held responsible for any loss, damage, or incidents related to parked vehicles.

Health & Safety:

  • Your health and safety are of paramount importance to us. While we take every measure to ensure a safe environment within the cottage, guests are responsible for their own safety and well-being. Please exercise caution and adhere to safety guidelines when using the property.  Please see further information below relating to Health & Safety.

Travel Insurance:

  • We strongly recommend that guests obtain comprehensive travel insurance to cover unexpected situations during their stay. This includes travel disruptions, personal injuries, and any unforeseen events that may affect your travel plans.

  • To further enhance your safety during your stay, we provide detailed instructions for the proper use of appliances and amenities within the property. Please take a moment to review these instructions in the welcome pack upon your arrival.

Caution and Awareness:

  • We encourage all guests to exercise caution and be aware of their surroundings while using the cottage facilities. If you have any questions about appliance usage, safety features, or any other concerns, please don't hesitate to reach out to us.

Emergency Information:

  • In case of any emergencies, essential contact information will be readily available in the welcome pack. Please familiarize yourself with this information to ensure a prompt response if needed.

Lost Property

While we make every effort to ensure your stay at Pinnipeds is comfortable and hassle-free, we understand that items can sometimes be misplaced. If you discover that you've left something behind, here's how we handle lost property:

Returning Lost Items:

  • If we find any lost items on the premises after your departure, we will be more than happy to return them to you. We understand the value of personal belongings and will make every effort to reunite you with your possessions.

Postage Costs:

  • In the event that we need to return a lost item to you, kindly note that postage costs will be at your expense. We will inform you of the estimated postage fee before sending the item to ensure transparency.

Prompt Communication:

  • If you believe you've left something behind, please notify us as soon as possible. The sooner we're aware of the lost item, the quicker we can begin the process of recovery and return.

Collection Deadline:

  • Please be aware that any unclaimed lost items will be held for 14 days before being disposed of or donated to a charitable organisation.

Right of Entry

At Pinnipeds, we respect your privacy and strive to provide you with a peaceful and uninterrupted stay. However, there might be rare instances when we may need to access the property. Please be aware of the following:

Respect for Privacy:

  • We understand the importance of your privacy and will make every effort to respect it during your stay.

Emergencies:

  • In the event of emergencies, maintenance issues, or concerns about the safety of our guests or property, we may need to access the cottage to address the situation promptly.

Anti-Social Behaviour:

  • While we trust our guests to be considerate, severe anti-social behaviour that disturbs the peace and enjoyment of others may necessitate our entry to address the situation and protect the experience of all occupants.

Notice and Communication:

  • Whenever possible, we will provide notice before entering the property. However, in emergencies or cases of severe anti-social behaviour, we may need to act swiftly to ensure safety and well-being.

Events Beyond Our Control

At Pinnipeds, we make every effort to ensure your stay is enjoyable and worry-free. However, there may be instances where unforeseen circumstances beyond our control might impact your booking or stay, including utilities, WiFi, and other amenities. Please understand the following:

Unforeseeable Events:

  • Events such as natural disasters, adverse weather conditions, industrial disputes, government actions (see further details in Force Majeure below) or other unforeseeable situations may affect your stay, including the availability of utilities, WiFi, and other amenities.

Limited Liability:

  • We cannot be held responsible for disruptions to your booking or stay resulting from events beyond our control. This includes situations that might lead to changes in your reservation, altered access to utilities, WiFi, and other amenities, or modifications to your experience.

Communication and Assistance:

  • In the event of such circumstances, we will make every effort to communicate with you promptly and provide assistance within our capabilities to minimize inconvenience related to utilities, WiFi, and other amenities.

Force Majeure

  • In unforeseen and exceptional circumstances beyond our control, Pinnipeds may be affected by events known as force majeure. Force majeure refers to situations that prevent us from fulfilling our contractual obligations. Such events may include, but are not limited to, natural disasters, pandemics, acts of war, government actions, strikes, and other unavoidable occurrences.
  • In the event of force majeure, we will make all reasonable efforts to communicate with you promptly. If your stay is directly impacted by such circumstances, we will work together to find a suitable solution. This may include rescheduling your stay to an alternative date, subject to availability and agreement.
  • Please note that force majeure events are beyond our control, and we cannot be held responsible for any inconvenience or costs resulting from these situations. We recommend that you obtain comprehensive travel insurance to provide coverage in case of unforeseen disruptions to your travel plans.
